Job Overview:

As a Vendor Communication Specialist at SayPro, you will be responsible for establishing and maintaining effective communication with software vendors in relation to the SayPro Monthly Classified Software Selection process. Your primary focus will be to inquire about pricing, technical support, and integration options. You will also take the lead in negotiating licensing terms and addressing any technical requirements or limitations associated with the selected classified ads software. This position plays a critical role in ensuring that SayPro selects and implements the most appropriate software to meet its business and operational needs.

Key Responsibilities:

  1. Vendor Communication and Inquiries:
    • Initiate and maintain clear and consistent communication with potential classified software vendors (e.g., WP Classifieds, Classifieds WP) to gather information on pricing models, features, integration options, and any other relevant product details.
    • Collaborate with the vendor support teams to clarify technical requirements and ensure a complete understanding of product capabilities, system compatibility, and limitations.
    • Maintain a comprehensive record of all communications with vendors, ensuring all correspondence is organized, tracked, and followed up as necessary.
  2. Negotiation of Licensing Terms:
    • Lead the negotiation process for licensing terms, including pricing, contract length, payment structure, and any potential customizations or additional services required.
    • Work closely with the SayPro Legal Team to ensure that the licensing agreements are in compliance with SayPro’s policies and legal requirements.
    • Secure favorable terms that align with the company’s budget and operational goals, while maintaining a professional and cooperative relationship with the vendors.
  3. Clarification of Technical Requirements and Limitations:
    • Act as the primary point of contact for clarifying technical requirements for software installation and integration, including data migration, compatibility with existing systems, and scalability for future needs.
    • Collaborate with the internal technical team (e.g., IT or Development) to ensure that all technical requirements are well-defined and that there are no unforeseen limitations during the installation or implementation phase.
  4. Integration Planning:
    • Coordinate with both the software vendor and internal teams to understand integration options with existing systems, ensuring seamless compatibility.
    • Provide guidance and feedback to the internal IT team to address any integration challenges that may arise during the setup and installation of the software.
    • Oversee the integration process to ensure that the classified ads software is properly configured to meet SayPro’s operational and marketing needs.
  5. Support and Troubleshooting:
    • Serve as the liaison between the software vendor and internal teams when issues arise during the software implementation process.
    • Ensure prompt resolution of any issues related to technical support, functionality, or integration during the vendor’s setup process.
    • Communicate any software bugs or issues to the vendor’s technical support team for quick troubleshooting and resolution.
  6. Documentation and Reporting:
    • Maintain accurate and up-to-date documentation on all software vendor communications, contracts, and agreements.
    • Prepare monthly reports for SayPro management regarding the status of vendor negotiations, technical clarifications, and integration progress.
    • Ensure that all key documentation related to vendor interactions and software implementation is available for auditing and future reference.
  7. Collaboration with Internal Teams:
    • Collaborate closely with the SayPro Marketing and Development Teams to ensure that the software selected aligns with SayPro’s marketing strategies and operational requirements.
    • Participate in regular meetings with the software selection team to provide updates on vendor communications and negotiations.
    • Work closely with the SayPro Marketing Royalty team (SCMR) to align software selection with the overall marketing goals and royalty frameworks.
  8. Continuous Improvement:
    • Continuously evaluate vendor relationships, communication practices, and negotiation strategies to enhance efficiency and effectiveness in the selection process.
    • Keep up-to-date with the latest trends and advancements in classified ads software, to ensure SayPro remains competitive in the marketplace.

Qualifications:

  • Education:
    • Bachelor’s Degree in Business Administration, Marketing, Information Technology, or a related field. Relevant certifications in vendor management or software integration are a plus.
  • Experience:
    • Minimum of 3 years of experience in vendor communication, contract negotiation, and software implementation. Experience with classified ads software or similar applications is preferred.
    • Proven track record of successful vendor negotiations and licensing agreements.
  • Skills and Abilities:
    • Strong written and verbal communication skills, with the ability to communicate technical information to non-technical stakeholders.
    • Excellent negotiation skills with the ability to manage relationships with vendors while ensuring favorable terms for the company.
    • Detail-oriented with excellent organizational and project management skills.
    • Strong problem-solving abilities, particularly in troubleshooting technical issues.
    • Familiarity with software integration processes and requirements.
  • Technical Proficiency:
    • Familiarity with classified ads software and web-based applications (e.g., WP Classifieds, Classifieds WP) is a plus.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.

Working Conditions:

  • Flexible work schedule, with the possibility of working remotely or from the SayPro headquarters.
  • Occasional travel may be required for vendor meetings, conferences, or training sessions.
  • Workload may fluctuate during key phases of software selection, negotiation, and implementation, so the ability to adapt to changing priorities is essential.
