Job Title: Event Coordinator
Department: SayPro Marketing Royalty / Events Division
Reports To: SayPro Classified Office Administrator
Location: SayPro Head Office / Remote
Schedule: Project-Based, Monthly SCMR-5 Events, and Special Engagements
Position Summary
The Event Coordinator plays a pivotal role in planning, organizing, and executing events listed on the SayPro platform, especially the SayPro Monthly SCMR-5 events. They are responsible for managing registration processes, overseeing role assignment for classified access, and ensuring seamless participant and user engagement through structured tools on the SayPro website.
Key Responsibilities
1. Registration Management
- Oversee and administer the complete event registration process for all SayPro events, particularly SCMR-5 Monthly Events.
- Ensure that all participant data is accurately captured and stored in accordance with data protection guidelines.
- Create and manage custom registration forms on the SayPro website using the SayPro Event Registration Module.
- Track participant numbers, send out confirmations, and follow up on incomplete registrations.
- Coordinate check-in processes for physical or hybrid events using QR codes, digital tickets, or SayPro’s attendance system.
2. SayPro Monthly SCMR-5 Event Support
- Coordinate logistics and participant communications for the SayPro Monthly SCMR-5 programmes.
- Liaise with facilitators, technical support, and content teams to ensure materials are ready ahead of events.
- Manage session timing, announcements, and distribution of training material or event kits, both online and offline.
3. Classified Role Management
- Work closely with the SayPro Classified Office to assign roles and user permissions using the SayPro Role Management System.
- Assign permissions for:
- Event hosts and moderators.
- Admins and data reviewers.
- General participants and viewers.
- Maintain role records and adjust access rights based on activity, program needs, or administrative policies.
- Collaborate with internal teams to ensure role mapping aligns with organizational hierarchy and security protocols.
4. User and Administrator Engagement
- Support users and admins with onboarding processes related to SayPro event participation and classified platform use.
- Provide technical guidance and customer service for individuals struggling with registration or access.
- Gather feedback and compile reports post-event to enhance future coordination and user satisfaction.
5. Reporting and Documentation
- Generate monthly reports summarizing registration stats, attendance figures, user roles, and issues faced.
- Document lessons learned and submit feedback to SayPro Marketing Royalty leadership for strategic improvements.
- Archive all event data securely and in accordance with SayPro’s internal policies.
