Job Purpose:
The primary objective of this role is to manage the segmentation and prioritization of advertisers whose classified ads are nearing expiration. By focusing on these advertisers, the coordinator will ensure that reminders are sent out on time to facilitate smooth ad renewals and maintain the continuity of services for both advertisers and users on the SayPro Classified platform.
Key Responsibilities:
- Segmentation of Advertisers:
- Identify Expiring Ads: Regularly monitor and track all classified ads that are due to expire within the next 15 days. This includes accessing the system database and reviewing ad expiration dates.
- Prioritize Advertisers: Prioritize these advertisers, ensuring they are segmented accurately in terms of the urgency of their ad renewal (e.g., ads expiring within 1-5 days vs. 6-15 days).
- System Organization: Use the SayPro Classified software system to filter, tag, and organize advertisers based on the expiration timeline, ensuring an efficient reminder process.
- Renewal Reminder Process:
- Send Timely Reminders: Ensure that reminders are sent for ad renewals according to SayPro’s policy under the “SayPro Monthly Classified Renewal Reminders.” Ads within the 15-day expiration window should be contacted before expiration to prompt the advertiser to renew their listing.
- Follow-Up Communication: If necessary, send follow-up reminders to advertisers who haven’t responded to initial notices. This should be done via email, SMS, and/or any other relevant communication channel.
- Maintain Communication Logs: Ensure all reminder communications are documented in the system to track responses and renewal actions.
- Collaboration with Marketing Team:
- Coordinate with Marketing Royalty SCMR: Work with the SayPro Marketing Royalty team to ensure that marketing campaigns align with renewal efforts and that there are no overlapping reminders or missed communications.
- Provide Feedback: Share insights on advertiser behavior and response rates with the marketing team for better targeting and campaign optimization.
- Propose Marketing Strategies: Suggest marketing strategies or promotional offers based on the renewal patterns of advertisers, which may lead to improved retention.
- Customer Service Support:
- Assist Advertisers: Provide assistance to advertisers who may have questions about the renewal process, billing, or the status of their ad. Answer inquiries promptly and guide them through the renewal procedure if needed.
- Resolve Issues: Address any issues related to ad expiration, renewal glitches, or technical issues in the system and escalate when necessary.
- Reporting and Documentation:
- Generate Reports: Produce weekly and monthly reports on the status of expiring ads and the success rate of renewal reminders.
- Track Metrics: Measure the effectiveness of renewal reminders by tracking open rates, response rates, and renewal rates, and suggest improvements to optimize future campaigns.
- Record Keeping: Maintain detailed records of all segmentation activities, reminders sent, responses received, and renewal confirmations.
- Process Improvement:
- Suggest Enhancements: Continuously evaluate and suggest improvements to the ad renewal segmentation process, ensuring it is as efficient and user-friendly as possible.
- Tech Integration: Work with the tech team to enhance software features that could automate or simplify the reminder process.
Required Skills and Qualifications:
- Experience: Previous experience in customer service, marketing, or advertising platforms is preferred.
- Technical Skills: Proficient with Microsoft Excel and any customer relationship management (CRM) software. Familiarity with the SayPro Classified software is a plus.
- Communication Skills: Excellent written and verbal communication skills for effectively sending reminders and assisting advertisers.
- Attention to Detail: Ability to identify and prioritize key actions based on data, with a strong focus on ensuring reminders are sent out in a timely manner.
- Time Management: Strong organizational and time-management skills to handle multiple tasks efficiently under tight deadlines.
- Problem-Solving: Ability to handle any challenges related to the ad renewal process and resolve them promptly.
Key Performance Indicators (KPIs):
- Timeliness of Reminders: Ensure reminders are sent to 100% of advertisers whose ads are set to expire within the 15-day window.
- Renewal Conversion Rate: Monitor the percentage of advertisers who renew their ads after receiving reminders. Aim for a high conversion rate.
- Customer Satisfaction: Track customer satisfaction and response times, aiming for a quick and efficient resolution to any issues faced by advertisers.
- Engagement Metrics: Analyze the effectiveness of different reminder channels (email, SMS, etc.) and provide recommendations for optimization based on open rates and click-through rates.
Working Conditions:
- Full-Time: This is a full-time position with a regular working schedule.
- Remote/Office: This position may require you to work from the SayPro Classified office or remotely, depending on operational needs.
- Collaboration: You will work closely with the SayPro Marketing team, customer support, and technical staff to ensure the renewal process runs smoothly.
