Position Title: Event Coordinator
Department: SayPro Marketing Royalty
Office: SayPro Classified Office
Reports To: Events Manager / Marketing Director
Location: Remote and On-site (Hybrid)
Position Type: Contract / Full-Time / Part-Time (As Applicable)
Overview:
The Event Coordinator is responsible for planning, executing, and managing post-event follow-up processes as part of SayPro’s broader event lifecycle. This includes organizing communications, maintaining engagement, and assigning classified roles related to each event, especially under monthly programs such as SayPro Monthly January SCMR-5.
Key Responsibilities
1. Post-Event Follow-Up
- Send personalized thank-you emails to all event attendees, speakers, and partners within 24-48 hours after each event.
- Provide additional resources such as downloadable presentations, links to recorded sessions, handouts, and relevant contacts.
- Conduct surveys or feedback forms to collect insights on attendee satisfaction and suggestions for improvement.
- Collaborate with the SayPro Marketing Royalty team to ensure alignment with brand voice and engagement strategies.
- Archive all communication and reports in SayPro’s classified management system for easy reference and transparency.
2. SayPro Monthly January SCMR-5
- Assist in coordinating the SayPro Monthly SCMR-5 initiative, ensuring all event-specific documentation and role management updates are completed.
- Track participant involvement and confirm follow-up deliverables (e.g., certificates, digital badges, role changes) are issued.
- Provide monthly reports to the SayPro Marketing Royalty team outlining event outcomes, role changes, and user feedback.
- Ensure that all events under SCMR-5 are classified and archived properly for future access by SayPro users.
3. SayPro Monthly Classified Role Management
- Work with the SayPro Classified Office to assign roles and permissions to users and administrators based on their level of participation and responsibilities.
- Maintain an up-to-date Role Management Tracker to document changes in classified roles across different SayPro platforms and programs.
- Assist users in understanding their assigned roles and provide orientation or guides as needed.
- Liaise with technical teams to ensure accurate role implementation and permission enforcement within SayPro systems.
Required Skills and Competencies
- Strong organizational and time-management skills.
- Excellent written and verbal communication.
- Attention to detail, especially in email formatting, resource sharing, and role management documentation.
- Familiarity with CRM systems, event platforms (Zoom, Teams, Eventbrite), and role-based access controls.
- Experience in using content management systems or classified listing platforms is a plus.
Performance Metrics
- Timely delivery of post-event communications (within 48 hours of event conclusion).
- Engagement rates of follow-up emails (open and click-through rates).
- Accuracy in classified role assignments and documentation.
- Feedback scores from post-event surveys.
- Compliance with SayPro monthly deadlines and reporting standards.
