Job Description and Responsibilities

Job Title: Event Coordinator

Department: SayPro Classified Office
Program: SayPro Monthly (January SCMR-5 Edition)
Supervision: Reports to the SayPro Marketing Royalty Manager
Role Level: Operational Coordinator


Position Overview

The Event Coordinator is responsible for planning, promoting, executing, and evaluating events featured in SayPro Monthly January SCMR-5. This individual works closely with the marketing team, SayPro Classified Office, and the broader SayPro community to ensure each event runs smoothly, engages its intended audience, and aligns with SayPro’s brand and strategic objectives. Key to the role is the ability to manage classified ad content and assign roles/permissions to ensure structured access and accountability.


Key Responsibilities

1. Marketing and Promotion

  • Collaborate with the SayPro Marketing Team to develop a comprehensive promotion strategy.
  • Promote events using multiple digital channels:
    • SayPro Email Campaigns
    • SayPro Social Media Platforms (Facebook, LinkedIn, Instagram, etc.)
    • SayPro Website and Classified Event Listings
  • Ensure consistent messaging aligned with the SayPro Marketing Royalty branding strategy.
  • Coordinate with graphic designers and content creators to prepare promotional materials.
  • Track marketing performance using analytics and suggest improvements.

2. Event Planning and Coordination

  • Develop detailed project plans for each event in SayPro Monthly January SCMR-5.
  • Coordinate with internal and external stakeholders including speakers, facilitators, and vendors.
  • Prepare and manage event timelines, logistics, and post-event wrap-up activities.
  • Handle registrations, virtual platform setup (if applicable), and communication with attendees.

3. Classified Role Management

  • Assign and manage roles and permissions for users and administrators in the SayPro Classified Office.
  • Ensure only authorized users can publish or manage events in the classified section.
  • Review access levels monthly in coordination with the IT support and Marketing Royalty teams.
  • Document all role assignments for auditing and accountability purposes.

4. Administrative Duties

  • Maintain updated records of events, attendees, marketing assets, and feedback.
  • Generate weekly progress reports and a post-event analysis for submission to the SayPro Classified Office.
  • Manage event-related invoices, budgets, and cost approvals.
  • Work with the finance and procurement teams when ordering event supplies or booking services.

5. Support and Training

  • Assist new users (event organizers) with onboarding and using the SayPro Classified system.
  • Conduct training sessions or provide documentation on how to use SayPro’s event submission tools.
  • Report system issues to SayPro tech support for resolution.

Preferred Skills and Qualifications

  • Diploma or degree in Event Management, Marketing, Public Relations, or related field.
  • Proven experience in coordinating virtual and/or in-person events.
  • Strong digital marketing and communication skills.
  • Familiarity with classified ad platforms and role-based access systems.
  • Excellent organizational and multitasking abilities.
  • Proficiency with tools like Canva, Google Workspace, Trello, and CRM/email platforms.

Performance Metrics

  • Number of successfully coordinated events in SCMR-5.
  • Increase in engagement metrics from marketing campaigns.
  • Timely and accurate assignment of user roles in classified system.
  • Positive feedback from event participants and stakeholders.
  • Compliance with SayPro Marketing Royalty standards.
