Position Title:
Recording and Distribution Coordinator – SayPro Monthly Events

Department:
SayPro Classified Office – under SayPro Marketing Royalty

Reports To:
SayPro Monthly Classified Role Management Lead

Job Purpose:
To ensure all SayPro Monthly events (specifically SCMR-5 and related sessions) are effectively recorded, securely stored, and made accessible for on-demand viewing by relevant stakeholders, contributors, and users. The role supports transparency, ongoing access to content, and proper archival of institutional knowledge within SayPro’s classified environment.


Key Responsibilities:

1. Pre-Event Preparation

  • Coordinate with the SayPro Marketing Royalty technical and admin team to set up recording tools for virtual or in-person monthly sessions.
  • Conduct technical checks (audio/video/stability) at least 24 hours before the scheduled session.
  • Prepare storage directories in SayPro’s central classified server with the correct file-naming convention (e.g., SCMR-5_January_2025.mp4).

2. Live Event Recording

  • Monitor and manage the actual recording of SayPro Monthly events using the designated platform (Zoom, Teams, or SayPro proprietary tools).
  • Ensure that full coverage is captured, including presentations, speaker panels, Q&A sessions, and any breakout rooms if applicable.
  • Time-stamp key moments during the live session to facilitate easier navigation post-event.

3. Post-Event Management

  • Review recorded content for quality control – remove glitches, edit gaps, or adjust formatting where needed (light editing).
  • Upload final video content to SayPro’s internal classified media hub or the approved content distribution platform.
  • Add metadata (tags, session titles, date, speaker names, description) for each recording for easy indexing and searchability.

4. On-Demand Distribution

  • Set up access permissions as per SayPro Classified Role Management protocols.
  • Notify authorized users (staff, learners, partners) via the SayPro communication system (email or platform notifications) once recordings are available.
  • Manage access logs and user views to maintain insight into engagement and ensure compliance with SayPro data policies.

5. Archiving and Backup

  • Store backup copies of all recordings securely (cloud and local, where applicable) in SayPro’s archiving systems.
  • Maintain a categorized, up-to-date event recording register for retrieval and reference purposes.
  • Coordinate with the IT Security Team to ensure data encryption and backup protocols are observed.

6. Reporting and Feedback

  • Generate monthly reports on video engagement, viewership statistics, and accessibility issues.
  • Provide feedback summaries to the SayPro Classified Office for quality improvement.
  • Collaborate with SayPro Content Developers to repurpose content into training modules, highlight reels, or newsletters.

Job Purpose:
To manage user access, assign permissions, and ensure proper role-based controls are in place for all contributors, viewers, and administrators of the SayPro Monthly ecosystem. This role ensures the integrity, security, and efficiency of classified systems operations.


Key Responsibilities:

1. User Role Definition and Allocation

  • Define and document user roles (e.g., viewer, contributor, editor, admin, moderator) for SayPro Monthly Classified platforms.
  • Collaborate with department leads to understand team requirements for access control and content interaction.
  • Assign appropriate access rights in alignment with SayPro’s data governance and confidentiality policies.

2. Permission Configuration

  • Set role-based permissions across classified tools (media platforms, content hubs, forums, feedback forms, etc.).
  • Ensure only authorized users can upload, edit, or delete classified material.
  • Configure role expiration dates or temporary access based on event schedules or project timelines.

3. System Monitoring and Compliance

  • Regularly review access logs and user activities to ensure compliance with internal control measures.
  • Detect and address unauthorized access or role misuse in real time.
  • Provide role-based analytics to leadership for evaluation and strategy refinement.

4. Support and Maintenance

  • Assist users who experience access issues or require role upgrades/downgrades.
  • Update roles as team members join, leave, or shift responsibilities within SayPro.
  • Work with the IT support team to test new role permission schemes or system updates.

5. Training and Documentation

  • Develop and update a SayPro Role Management Guide for users and administrators.
  • Host short training sessions or provide manuals explaining how to request access or permissions.
  • Document changes in role structures and share with stakeholders monthly.
