Position Title: Ad Renewal Tracking and Monitoring Specialist

Job Purpose:
The Ad Renewal Tracking and Monitoring Specialist is responsible for monitoring and tracking the responses to renewal reminders for classified ads. This role involves ensuring that all customers who have received reminders regarding ad renewals take the necessary actions, and following up with those who have not yet renewed their ads. The role also ensures the timely and efficient renewal process for SayPro Classified Ads, which is integral to maintaining customer satisfaction and revenue generation.
Key Responsibilities:
- Monitor Ad Renewal Responses:
- Track the responses to renewal reminders sent by the SayPro Classified Office for ads listed in the SayPro Monthly January SCMR-5.
- Review all incoming responses to determine if customers have renewed their ads or taken appropriate action.
- Follow-Up on Unrenewed Ads:
- Identify customers who have not yet renewed their ads and follow up with them via email, phone calls, or other appropriate communication channels.
- Provide assistance or information as needed to encourage customers to renew their ads.
- Offer solutions to any challenges or issues customers may have with the renewal process.
- Coordinate with SayPro Marketing Royalty SCMR:
- Work closely with the SayPro Marketing Royalty SCMR team to ensure that all renewal reminders are sent out accurately and timely.
- Ensure that the renewal communication aligns with the SayPro marketing strategies and objectives.
- Maintain Records and Reports:
- Keep detailed records of all communications and follow-ups with customers regarding ad renewals.
- Generate and maintain regular reports on ad renewal statuses, including those who have renewed, those who require follow-up, and those who are no longer active.
- Update the CRM or tracking system to reflect the latest information about renewals.
- Customer Support:
- Assist customers with any questions related to the renewal process, providing clear explanations of the benefits of renewing their ads.
- Address concerns about payment, ad visibility, or ad management to ensure customer satisfaction.
- Ensure a positive customer experience, maintaining high standards of professionalism and communication.
- Collaboration with Other Teams:
- Coordinate with the SayPro Marketing and Customer Support teams to resolve any renewal-related issues.
- Provide feedback to the SayPro Marketing Manager about common customer concerns, difficulties in the renewal process, or suggestions for improving communication.
- Performance Tracking:
- Track and report on the effectiveness of renewal reminders and follow-up efforts, including the conversion rate of reminder responses into ad renewals.
- Regularly assess the tracking system’s accuracy to identify any potential improvements in the renewal process.
- Continuous Improvement:
- Proactively suggest improvements to the ad renewal reminder process based on customer feedback and internal observations.
- Stay updated on best practices for customer retention and renewal processes to ensure the company remains competitive and efficient.
Required Skills and Qualifications:
- Education: High school diploma or equivalent. A degree in Marketing, Business Administration, or a related field is preferred.
- Experience: At least 1-2 years of experience in customer service, marketing, or a related role, particularly in tracking and monitoring systems.
- Technical Skills:
- Proficient with CRM software or tracking systems used for managing ad renewals.
- Comfortable with office software (e.g., Microsoft Office Suite) and email communication platforms.
- Familiarity with ad renewal and marketing processes is a plus.
- Communication Skills: Strong verbal and written communication skills, with an ability to interact professionally and courteously with customers.
- Attention to Detail: Excellent organizational and tracking skills, with the ability to monitor multiple tasks and deadlines simultaneously.
- Problem Solving: Ability to handle customer inquiries and resolve issues in a timely and efficient manner.
Preferred Qualifications:
- Experience working in a classified ads, advertising, or online marketing environment.
- Knowledge of the SayPro Classified system or similar ad management platforms.
- Customer service experience, particularly in a digital or online setting.
Work Conditions:
- Hours: Full-time, with standard office hours. Occasional flexibility may be required to meet deadlines.
